1. Who we are
This website, www.medcopywriter.com, is run by Medcopywriter Limited, a company registered in England and Wales (company number 08159703), with its registered office at 23 Albion Street, Chipping Norton OX7 5BL, United Kingdom. We are the controller of the personal data described in this policy. This policy explains what personal data we collect through this website, why, and what rights you have under UK data protection law (UK GDPR and the Data Protection Act 2018).
2. Information we collect
2.1 When you contact us
If you use our contact form or email us, we collect your first and last name, email address, subject and message, plus anything else you choose to include.
2.2 When you use our voice-chat assistant
If you accept functional cookies and start a conversation with our AI assistant, what you say or type and the assistant's replies are processed by ElevenLabs on our behalf. Please do not share sensitive personal information, such as health details, with the assistant.
2.3 Spam protection
To stop automated spam, our contact form uses Google reCAPTCHA and Cloudflare Turnstile. These services may collect your IP address and information about your browser and device.
2.4 Analytics
We use Plausible Analytics to count visits. Plausible does not use cookies and does not collect personal data. It records anonymous, aggregated information such as which pages are viewed, the referring site, and the country and device type of visitors.
2.5 Cookies
We use a small number of cookies and similar technologies. Non-essential ones are only used with your consent. Full details are in our Cookie Notice, and you can change your cookie settings at any time.
3. How we use your information and our lawful basis
- To reply to your enquiry and discuss possible work with you: our legitimate interests in running our business, or taking steps at your request before entering into a contract.
- To provide the voice-chat assistant: your consent, given through the cookie banner.
- To protect our website and contact form from spam and abuse: our legitimate interests in keeping the site secure.
- To keep business and financial records where you become a client: our legal obligations.
We do not use your information for marketing without your consent, and we do not use it for automated decision-making that has legal or similarly significant effects on you.
4. Who we share it with
We do not sell, rent or trade your personal information. We share it only with service providers that help us run this website, who act on our instructions:
- Webflow (website hosting and contact form submissions)
- ElevenLabs (voice-chat assistant)
- Google and Cloudflare (spam protection)
- Plausible Analytics (anonymous visitor statistics)
- our email provider and professional advisers, such as our accountants, where needed
We may also disclose information if required by law.
5. International transfers
Some of these providers, such as Webflow, Google and ElevenLabs, may process data outside the UK, including in the United States. Where this happens, we rely on safeguards recognised under UK law, such as the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Addendum to standard contractual clauses.
6. How long we keep it
We keep enquiries for up to two years after our last contact, unless they lead to work together. Client records are kept for six years after the end of the financial year they relate to, as required for tax and accounting purposes. Voice-chat conversations are kept only as long as needed to review and improve the assistant, then deleted.
7. Data security
We use appropriate technical and organisational measures to protect your personal information from loss and unauthorised access, use, alteration or disclosure. No method of sending or storing data over the internet is completely secure, but we work to keep your information safe.
8. Your rights
Under UK data protection law you have the right to:
- access a copy of your personal information
- have inaccurate information corrected
- have your information deleted
- restrict how we use your information
- object to our use of your information where we rely on legitimate interests
- receive your information in a portable format
- withdraw your consent at any time, without affecting anything done before you withdrew it
To exercise any of these rights, email nick@medcopywriter.com. We will respond within one month. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office.
9. Children
This website is intended for business users and is not directed at children. We do not knowingly collect personal information from children.
10. Other websites
Our site links to other websites, such as PharmaTools.AI. Those sites have their own privacy policies, and we are not responsible for how they handle your information.
11. Changes to this policy
We may update this policy from time to time. We will post any changes on this page and update the date at the top.
